Booking Terms and Conditions
Last updated: October 2026. These terms apply to group programs organised by More Than Places, based in Rio de Janeiro, Brazil ("More Than Places", "we"). "You" means the school, university or organisation that books the program.
1. Booking and deposit
We send each group a written proposal. Your booking is confirmed when you sign the program agreement and we receive a non-refundable deposit of 30% of the total program price.
2. Prices
Prices are per participant, in US dollars, and based on the group size, dates and services in your proposal. The minimum group size is 7 students. One teacher place is free for every 10 paying students. If the number of participants falls below the number quoted, we may recalculate the price per person.
3. Balance payment
The balance, including the service project contribution, is due 30 days before arrival. Bookings made less than 30 days before arrival must be paid in full at booking. If the balance is not paid on time, we may treat the booking as cancelled by you under section 5.
4. Service project contributions
Each service project has a minimum contribution per group, paid in addition to the program price. 100% of the contribution is spent directly on the project or paid to our partner organisation, and we send you an impact report with receipts and photos after the trip. Once materials have been bought or funds transferred to the partner, the contribution cannot be refunded.
5. Cancellation by you
Cancellations must be sent to us in writing. The following charges apply, calculated on the total program price:
- 60 days or more before arrival: the deposit is kept.
- 59 to 30 days before arrival: 50% of the total price.
- Less than 30 days before arrival, or no-show: 100% of the total price.
The same charges apply per person if individual participants cancel. Participant names can be changed free of charge up to 7 days before arrival. We strongly recommend insurance that covers trip cancellation.
6. Changes and cancellation by us
We may adjust the itinerary for safety, weather or operational reasons, replacing activities with comparable alternatives. If we must cancel a program for reasons other than those in section 7, you will receive a full refund of all amounts paid or new dates, as you prefer.
7. Events beyond our control
We are not responsible for failure or delay caused by events beyond our reasonable control, including extreme weather, natural disasters, epidemics, strikes, civil unrest, government restrictions and airline disruptions. In these cases we will do our best to offer alternatives. If the program cannot go ahead, we will refund the amounts paid for services not provided, less costs already incurred that we cannot recover from suppliers.
8. Insurance
Travel and medical insurance is required for every participant, including cover for emergency medical treatment and repatriation. The school is responsible for making sure all participants are insured and must send us proof before departure on request.
9. Supervision
The school's teachers or chaperones are responsible for supervising students and for their conduct at all times, including during free time and at night. More Than Places provides a local coordinator, logistics and 24/7 local support, but does not replace the school's supervision. We recommend at least one teacher for every 10 students.
10. Conduct
Participants must respect Brazilian law, the program rules, our partners' rules and the instructions of our team. Alcohol for participants under 18, drugs, violence, harassment, damage to property and leaving the group without permission are not allowed. In case of serious or repeated misconduct, a participant may be removed from the program after consultation with the school's teacher. In that case the participant is sent home at the family's expense and no refund is given.
11. Health and special needs
The school must tell us before arrival about any medical conditions, allergies, dietary needs, disabilities or medication that could affect a participant. Participants bring and manage their own medication. In an emergency, our team accompanies the participant to a clinic or hospital and helps with translation and insurance. Medical costs are covered by the participant's insurance or by the participant.
12. Travel documents
Valid passports, visas and any vaccinations are the responsibility of participants and the school. Costs resulting from missing documents or refused entry are not refundable.
13. Flights
International flights are not included in our programs. We are not responsible for flight delays or cancellations. Extra costs caused by flight changes, such as additional nights or transfers, will be charged.
14. Our responsibility
We plan every program with care and choose our suppliers and partners carefully. We are not responsible for the acts of third parties beyond our control, for the loss of personal belongings, or for indirect losses. Our total liability is limited to the price paid for the program, except where the law does not allow such a limit.
15. Photos
We may take photos during the program for the impact report. We use photos of participants for promotion only with written permission. Participants must follow our partners' rules on photography, especially where children are present.
16. Complaints
If something is not right during the program, please tell our coordinator immediately so we can fix it. Any complaint after the program should be sent in writing within 30 days of your return.
17. Governing law
These terms are governed by the laws of Brazil, and the courts of Rio de Janeiro have jurisdiction. This does not affect any rights you have under consumer protection law that cannot be excluded.
